ABOUT ENGAGE PARTNERS LTD ‘THE GROUP’ AND WHAT THIS COVERS

Engage Partners group incorporating Engage Education, Engage Construction, Teaching Jobs London and iday (“We”) are committed to protecting and respecting your privacy. This Privacy and Cookie Policy (the “Policy”) becomes effective on May 25, 2018 for all users, provided that enhanced data protection rights in this Policy required by the EU General Data Protection Regulation become effective on May 25, 2018 for all EU-resident users who are natural persons.

This policy (and any other documents referred to on it) sets out the basis on which any personal data we collect from you, or that you provide to us, will be processed. Please read this information carefully to understand our practices regarding your personal data and how we will treat it.

For the purpose of the General Data Protection Regulation, the data controller is Engage Partners a company registered in England and Wales under company number 06737449 and with its address at Meridien House, 69-71 Clarendon Road, Watford, Hertfordshire, WD17 1DS.

Engage Partners understands that your information is entrusted to us and we are committed to protecting and respecting your privacy. To this end Engage Partners complies with data protection legislation. This privacy policy is designed to tell you about our practices regarding the collection, use, storage and disclosure of personal information that we hold about you and which you may provide when either contacting us for an enquiry or registering with us to use or access our services.

When we refer to “personal information” in this policy, we mean information that could or has the potential to identify you as an individual or provides information about you. Accordingly, we may hold and use information about you as a customer, a client, or in any other capacity, for example, when you visit our sites, complete a form, access our services or speak to us.

INFORMATION ENTERED ONTO THE ENGAGE PARTNERS SITES

Please be sure to read this entire privacy policy before using or submitting information to the Engage Partners site. The Engage Partners site is controlled and owned by Engage Partners referred to in this privacy statement as ‘we’, ‘us’ or ‘our’. Some of our affiliated website domains and service providers host data in servers located outside of the EEA using cloud solutions. Where this is the case we have implemented appropriate security to protect the personal information you disclose to us from loss, misuse, unauthorised access, disclosure alteration and destruction.

By using the site or any of our affiliated website domains, you agree to the terms of this Privacy Policy. Whenever you submit information via these sites, you consent to the collection, use, and disclosure of that information in accordance with this Privacy Policy.

WHAT PERSONAL INFORMATION DO WE COLLECT FROM YOU WHEN YOU ACCESS OUR SITES AND SERVICES?

When you contact us to enquire or use our service, we will collect personal information about you to enable us to provide you with the services. Information collected will be kept securely and only accessed processed in accordance with General Data Protection Regulation.

The information you have ‘explicitly’ given us occurs when you fill out registration forms, submit your resume/cv, or provide us with other personal information actively. We collect that information for processing and use in accordance with this Policy. Because we change our offerings and features from time to time, the options you have to provide us with personal information may also change. Here are some examples of situations in which you will have the opportunity to provide personal information to us:

  • Creating an account via the Engage Community;
  • Signing up for email alerts;
  • Completing a form related to one of our products or services;
  • Uploading a CV;
  • Contacting us via an enquiry form;
  • Contacting us for technical support or customer service;
  • File and log in personal data and associated documents for access by 3rd parties using our services;
  • Complete customer surveys on our site or via a solicited email;
  • Post material on the site;
  • If you contact us, we may keep a record of that correspondence.

We may also collect sensitive information about you related to your health and background that you have entered into a web form, emailed via our site or relayed in a telephone call us. Please note that information sent through a web form enquiry or via email is normally unprotected until it reaches us.

Depending on how you interact with our websites, the personal information we collect from you may vary. For example, to create an account we may ask only for an email address and password. In other circumstances, such as when you complete a form related to a particular service offering, (such as registering for one of our CPD events), we may also ask you to provide other information, this may include your name, phone number, and/or postal address. We also collect and store certain information associated with actions you take. For example, when you search for jobs, we store the titles, locations and general salary range (if available) of jobs you search for and click on. We also store information about the job postings that you apply to, the time and duration of your activity on our websites, and other information about your behavior on our websites.

On certain domains, when you set up an individual user account on the website, you may create a profile (a “Profile”) that will include personal information you provide. We will create your Profile with information we extract from a resume/cv and other details you have uploaded on the websites within our customer database.

WHAT PERSONAL INFORMATION DO WE COLLECT FROM YOU WHEN YOU ACCESS OUR SITES?

We may collect and process personal information when you:-

  • register to use our site and our services.
  • enquire about any of our services.
  • file and log in personal data and associated documents for access by 3rd parties using our services.
  • fill in a form.
  • complete customer surveys on our site.
  • post material on the site.
  • If you contact us, we may keep a record of that correspondence.

THE SECURITY OF INFORMATION ENTERED VIA OUR SITE AND WHERE WE STORE YOUR PERSONAL DATA

We endeavour to protect all information we hold about you by ensuring that we have appropriate security measures in place to prevent unauthorised access, information being lost, destroyed or damaged. We conduct audits to monitor our compliance to Information Security and data protection.

In the usual course of our business, we use third party organisations to support storing and processing of information and perianal data as part of a Customer Relationship Management tool and as part of our overall services.

Where a third party data processor is used, we ensure that they operate under contractual restrictions with regard to confidentiality and security, in addition to their obligations under the General Data Protection Regulation.
Personal information you provide to us is held on a secure server in locked information centres wherever possible.

Information is kept for as long as is reasonably necessary. Some IT service providers host data in servers located outside of the EEA using cloud solutions. Where this is the case we have implemented appropriate security to protect the personal information you disclose to us from loss, misuse, unauthorised access, disclosure alteration and destruction. We will archive your personal information after two years of not working with us.

Data transmission over the internet is not completely secure and we cannot guarantee the security of your personal information or other data transmitted to or from our site; any such transmission is at your own risk. Once we have received your information, we will use strict procedures and security features to secure your data and to try to prevent unauthorised access.

The collection, use, and disclosure of data that we collect from you may be transferred to, and stored at destinations outside the European Economic Area (“EEA”) for example our CRM tool is processed by a supplier in the US. It may also be processed by staff operating outside the EEA who work for us or for one of our suppliers. In these cases we have implemented appropriate security measures in compliance with the EU Data Protection Directive and General Data Protection Regulations to protect your personal information. By submitting your personal data, and in providing any personal and/or sensitive information to us, you agree to this transfer, storing or processing outside of the EEA. We will take all steps reasonably necessary to ensure that your data is treated securely and in accordance with this privacy policy.

HOW DO WE USE YOUR PERSONAL INFORMATION PROVIDED THROUGH OUR SITE?

We use the information we collect to provide our services. In order for us to best provide our services (and to help make it feasible for us to do so), it is essential that we are able to collect and use the information as described in this Policy
Your personal information will be kept confidential and secure and only used in connection with Engage Partners Group services for the purpose for which it was collected and in accordance with our requirements under data protection legislation guidelines. Sensitive information related to your health will only be used in connection with the specific services which we provided to you and for which you have registered. Any personal information you provide will be held for as long as is reasonably necessary having regard for the purpose for which it was collected.

WE MAY USE YOUR PERSONAL DATA FOR SOME OR ALL OF THE FOLLOWING REASONS:

  • To provide you with personalised content and services offered by Engage Partners as well as promotional content and services, or your resume/cv or Profile information;
  • To determine relevant search results and provide you with recommended jobs or reach out to you about jobs or content you may be interested in; we also use your IP address and mobile device for these purposes;
  • To provide you with information, and services that you request from us or which we feel may interest you, where you have consented to be contacted for such purposes;
  • To carry out our obligations arising from any contracts entered into between you and us;
  • To allow you to participate in interactive features of our service, when you choose to do so;
  • To notify you about changes to our service;
  • To transmit your job application(s) and save your application materials;
  • To share your saved Profile or resume with employers;

WHAT DO WE DO WITH ANY NON-PERSONAL INFORMATION COLLECTED WHEN ACCESSING THE SITE?

Other non-personal information which you submit may also be collected to enable us to better understand our customers, improve our site, general marketing and to help provide a better experience of our services. We may also use other companies to set cookies on your site and gather cookie information for us – please refer to the information detailed below. We may also analyse Internet Internet Protocol (IP) addresses or other anonymous data sources too. We have a legitimate interest in using the information we collect, for these purposes:

  • To customise and improve the features, performance, and support of the site;
  • To provide relevant advertising, including interest-based advertising from us and third parties, which may mean that we share non-personally identifiable information, such as your job title, to third-party advertisers;

  • To create aggregate and statistical data that does not identify you individually and that we can commercialize (for example, we use mobile device data and IP addresses to gather demographic information).

WHAT ARE COOKIES?

These cookies don’t collect information that identifies a visitor. All information these cookies collect is aggregated and therefore anonymous. It is only used to improve how a site works.

This category does not include cookies used for behavioural/ targeted advertising networks.

CATEGORY 3 COOKIES

These cookies allow the website to remember choices you make (such as your user name, language or the region you are in) and provide enhanced, more personal features. CATEGORY 4 COOKIES

These cookies are used to deliver adverts more relevant to you and your interests. They are also used to limit the number of times you see an advertisement as well as help measure the effectiveness of the advertising campaign. They are usually placed by advertising networks with the website operator’s permission. They remember that you have visited a site and this information is shared with other organisations such as advertisers. Quite often targeting or advertising cookies will be linked to site functionality provided by the other organisation.

Engage Partners do not collect these cookies, and will endeavour to obtain clear and informed user consent depending on the purpose for which the category 4 cookies are to be used.

Telephone calls

In the interests of training and continually improving our services calls to Engage Partners and its agents may be monitored or recorded.

Marketing

If you have consented to our processing your personal information for marketing purposes we may send you information about other Engage Partners products and services which may be of interest to you.

THIRD PARTY WEBSITES

Our site may contain links to other sites which are outside of our control and are not covered by this privacy policy. If you link to these sites we encourage you to read their own privacy policies which may differ from ours.

FRAUD

Information may be disclosed to others with a view to preventing fraud or to assist in police investigations in line with the General Data Protection Regulation.

CCTV

Engage Partners premises are surveyed by CCTV for the purpose of security and images and videos may be retained for a limited period.

ACCESSING AND UPDATING YOUR INFORMATION

You have the right to access information held about you. Your right of access can be exercised in accordance with General Data Protection Regulation. At any time you can request a copy of the information that we hold about you, including copies of your medical records (where relevant), by contacting:

CHOICES REGARDING YOUR PERSONAL INFORMATION

In addition to your rights outlined above, if you are an individual consumer (a “Candidate”) of Engage Partners services and have an ‘Engage Community’ account, you can manage your account settings in the “My profile” section on the Engage Community Website where we provide you with the opportunity to delete any unwanted personal information stored in our database. Candidates can also manage settings for email marketing from Engage Partners in this section. If you wish to update this information and do not have access to the Engage Community, please email: enquiries@engage-education.com.

If you are a “Client” (I.e. a school) and wish to update your Client information, please email enquiries@engage-education.com.

HOW TO REQUEST YOUR PERSONAL INFORMATION OR CLOSE YOUR ENGAGE COMMUNITY ACCOUNT

If you’d like Engage Partners to no longer hold your personal information, you can ask us to do so by sending an email request to: enquiries@engage-education.com we will then delete this information within 72 hours. When your personal information is deleted, any information you have submitted will be pulled from the display on our systems, however, we reserve the right to keep any information in a closed account in our archives that we deem necessary to comply with our legal or regulatory obligations, resolve disputes and enforce our agreements. If, after we delete your information, you wish to know which personal information we still keep, you can proceed in accordance with your rights set out above.

HOW LONG WE KEEP YOUR PERSONAL INFORMATION

We keep your personal information only so long as we need it to provide you our services and fulfill the purposes described in this Policy. This is also the case for anyone that we share your personal information with and who carries out services on our behalf. Retention periods can vary significantly based on the type of information and how it is used. Our retention periods are based on criteria that include legally mandated retention periods, (I.e. DBS information retained on former employees), pending or potential litigation, our intellectual property or ownership rights, contract requirements, operational directives or needs, and historical archiving. When we no longer need to use your personal information and there is no need for us to keep it to comply with our legal or regulatory obligations, resolve disputes and enforce our agreements, we’ll either remove it from our systems or depersonalize it so that we can’t identify you.

SECURITY SAFEGUARDS

Security. We employ physical, electronic, and managerial measures to safeguard the information we collect online. However, no company can fully eliminate security risks, so we cannot make guarantees about any part of our services. You are responsible for keeping your username and password secret. Once you have registered with us, we will never ask you for your password. Please create a unique password for your Engage Community account and do not use it for any other web services or applications. Do not share your password with anyone else.

CHANGES TO OUR PRIVACY STATEMENT

We keep our privacy policy under regular review and as a result it may be amended from time to time without notice. As a result we encourage you to review this privacy statement regularly.
